This section provides information on CREF’s administrative procedures and the forms to be completed and submitted to the Administration.

 

Purchase Proposals, Cash Advance/Reimbursement

For purchases, requests for project or general expenses, and reimbursements for advances paid, please download the corresponding form and send the completed version to acquisti@cref.it.


 

Project Submission

To submit a research project, download the form and send the completed proposal to giulia.loguercio@cref.it at the Research Office.


 

Request for Social Welfare Benefits

You can request contributions for enrollment fees, meals, and attendance of minor children at public nurseries and schools of all levels, purchase of school books, subscriptions to summer and/or sports centers, cultural and musical associations, language schools for dependent children, public transport passes, and subscriptions to on-demand streaming platforms (films, TV series, documentaries) or digital platforms offering music streaming and audio content.

Research Contracts

Heads of CREF projects or research lines who intend to activate a public selection for the awarding of research contracts must submit Form A, fully completed, to the Administrative Director, indicating the research program to be carried out related to the required profile, for the approval of the Board of Directors.

For the proposal of the examining committee, the research contract proposer must complete Form B and send it along with the request to activate the public selection or after the publication of the call. Please note that five members must be indicated (including a President, a Secretary, and a substitute member) and that at least one-third of the effective positions on the committee must be reserved for women. Furthermore, it is necessary to attach the curriculum vitae of each proposed committee member if they are not a CREF employee.

To request the renewal or extension of a research contract, it is necessary to complete and send the following Form C to the CREF administration along with a report on the scientific activity carried out by the contractor and signed by the project’s scientific head.

Scholarships

Proposals for establishing scholarships can be put forward by the President, a member of the Board of Directors, the Scientific Director, scientific contacts for projects, scientists of clear renown and high scientific competence, and CREF Associate personnel. The establishment of a scholarship can also be proposed by public and private entities, national and international, who intend to finance all or part of the related budget costs, by signing a specific agreement. Proposals are submitted for approval to the Board of Directors, after consulting the Scientific Director and the Administrative Director regarding verifying related financial coverage. To propose a request for a research grant, you must download and complete the form below and send it to the Administrative Director at direttore.amministrativo@cref.it and segreteria@cref.it. Close to the application deadline, the scholarship contact person must send the examining committee proposal form to the Head of the procedure (specified in the call), indicating three names as full members and one name as a substitute member. One of the committee members must be the scientific contact person, and at least one member must be female.

Extra-Institutional Assignments

To request authorisation or communicate the performance of extra-institutional assignments with external entities/institutions or companies, complete the form and send it to the Administrative Director at direttore.amministrativo@cref.it and to the Head of the Human Resources Office at segreteria@cref.it. To understand which extra-institutional activities require authorisation and which only require communication, please read the various cases provided in the Regulations. Collaboration Assignments for External Parties

To request individual assignments, with self-employment contracts, for experts of particular and proven specialisation (including university experts), complete Form A and send it to direttore.amministrativo@cref.it and segreteria@cref.it. Along with the documentation mentioned earlier, the assignment proposer must also send Form D (Tax Regime Declaration) duly completed by the person to whom the assignment will be conferred. In addition to remuneration, travel and accommodation expenses may be reimbursed, according to the limits and procedures set out in the CREF mission regulations. To obtain reimbursement, it is necessary to complete Form B, signed by the Applicant and sent to this Administration (segreteria@cref.it), along with all original supporting documentation (receipts, travel tickets).

ATTENTION: To make payments to foreign citizens/residents abroad, they must have an Italian tax code (for the procedure, consult the Italian Revenue Agency website).

To assign tasks (guests, speakers, professors, invited speakers, etc.) with remuneration for events, conferences, seminars, scientific and cultural events, organized directly by CREF or in collaboration with other public/private entities and organizations, complete Form A, send it to the Scientific Director (direttore.scientifico@cref.it) and, after their positive opinion, send it to direttore.amministrativo@cref.it and segreteria@cref.it.

Along with the documentation mentioned earlier, the assignment proposer must also send Form D (Tax Regime Declaration), duly completed by the person to whom the assignment will be conferred. In addition to remuneration, travel and accommodation expenses may be reimbursed for this assignment, according to the limits and procedures set out in the CREF mission regulations.

Reimbursement of Representation Expenses

Representation expenses are incurred to promote, enhance, and provide broad external visibility for the activities carried out, improving CREF’s image and perception. They are also used to maintain relationships with external public and/or private entities and facilitate the adequate dissemination of research results, scientific culture, and administrative activity.

Please note that representation expenses do not include breakfasts, refreshments, and small consumables not incurred during official meetings and involve only internal CREF personnel.

To request reimbursement of representation expenses incurred during exceptional, official, and highly significant events, it is necessary to complete the form in its entirety and send it to the Administration (segreteria@cref.it), along with the event/meeting/workshop poster and/or documentation (e.g., correspondence) proving the actual conduct of the event, and original receipts/other expense justifications.
